How I collect, use and look after your information when you enquire, book or simply browse this site.

Who I am
This site is run by Parker Rose Socials, a wedding and social media content creation business owned by Rosie Coffey, working from Kent and travelling across the United Kingdom. For the purposes of UK data protection law, Parker Rose Socials is the data controller for the information described here.
You can reach me at hello@parkerrosesocials.co.uk or on 07949 020904 about anything on this page.
What I collect
When you send an enquiry
The enquiry form on this site and the booking system at calendar.parkerrosesocials.co.uk ask for:
- your name and email address, which are required so I can reply
- your phone number, if you choose to give it
- your wedding or shoot date, your venue or location, and the package you are interested in
- whatever you write in the message box
- a record that you ticked the box agreeing I can use your details to reply
The booking system saves what you have entered as you move through the form, so that if you do not finish I can still reply to you. If you would rather that did not happen, message me directly instead and nothing is stored by the form.
When you contact me directly
If you email, call, message me on WhatsApp or reach me through Instagram, I keep that conversation and whatever you choose to tell me in it. WhatsApp and Instagram are run by Meta, and your use of them is covered by Meta's own privacy terms rather than mine.
When you send a testimonial
If you send me a few words about your day through the form on this site, I keep your name, your email address, your rating and whatever you write, along with your venue and the date of your wedding if you choose to give them. I also keep a record of the exact wording you agreed to and the moment you agreed to it.
Nothing is published automatically. I read every testimonial myself before it appears, and I may shorten it or fix a typo, which is what the wording beside the tick box tells you at the time. Your email address is never shown on the site. It is only so that I can thank you, or check something with you before your words go up.
What appears publicly is your name, your venue and the month of your wedding, alongside your words and your rating. If you would like it taken down, email me and I will remove it. You do not need to give a reason.
When you become a client
If we go ahead, I will also hold the details needed to plan and deliver the work and to keep proper business records: your booking and payment details, the agreement between us, and the photographs and video I create on the day.
Automatically, when you browse
My hosting provider keeps standard server logs, which include your IP address, browser type and the pages requested. These are used to keep the site running and secure. To reduce spam, the site also keeps a one way scrambled record of the IP address an enquiry came from, which cannot be turned back into your IP address and is used only to stop the same source flooding the form.
Cookies and tracking
This site sets no advertising or analytics cookies, and there is no tracking pixel, no advertising network and no third party analytics on it. Nothing here follows you around the internet.
The booking system may set a small number of strictly necessary cookies so that the form works and your progress is kept between steps. These are required for the service to function and are not used to profile you.
Why I use your information, and my lawful basis
- To answer your enquiry and discuss your day. My lawful basis is taking steps at your request before entering into a contract, and my legitimate interest in responding to people who contact me.
- To provide the service you have booked. My lawful basis is performance of our contract.
- To keep accounting and tax records. My lawful basis is compliance with a legal obligation.
- To protect the site from spam and abuse. My lawful basis is my legitimate interest in keeping the site working.
- To publish your testimonial on this website and on social media. My lawful basis is your consent, given by ticking the box on the testimonial form. You can withdraw it whenever you like and I will take the testimonial down.
- To show your photographs or films as examples of my work. My lawful basis is your consent, asked for separately. You can say no, and you can change your mind later, without it affecting your booking.
Who else sees it
I do not sell your information, and I do not share it for anyone else's marketing. It is handled by a small number of suppliers who provide the tools this business runs on:
- My website host, which stores the site and its server logs
- My email provider, which delivers and stores enquiry notifications and our correspondence
- The booking system, hosted on Fly.io, which stores enquiries and bookings
- Google Fonts, which serves the typefaces used here. Your browser requests these from Google directly, which means Google receives your IP address as part of that request
- jsDelivr, a content delivery network serving one animation script, which likewise receives your IP address
- Cloudflare, whose Turnstile check sits in the enquiry form to tell people from automated abuse. It receives your IP address and basic information about your browser when the form is open
I may also share information where I am required to by law, or where it is necessary to establish or defend a legal claim.
Where your information is held
My hosting, email and booking system are provided from within the United Kingdom and the European Economic Area. Where a supplier transfers information outside the UK, that transfer is covered by the safeguards required under UK data protection law, such as the International Data Transfer Agreement or an adequacy decision.
How long I keep it
- Enquiries that do not lead to a booking: up to twelve months, in case you come back to me.
- Client records, contracts and payment records: six years after the end of the relevant tax year, which is the period HM Revenue and Customs requires.
- Photographs and video: for as long as I need them to deliver and support your work, and beyond that only where you have agreed I may keep them as examples.
- Testimonials: for as long as they are published, and removed as soon as you ask me to remove one. The record of your consent is kept for as long as your words are up, because it is my evidence that I was allowed to publish them.
- Server logs and spam prevention records: a short period only, typically a matter of days or weeks.
When information is no longer needed for the purpose it was collected for, it is deleted.
How it is kept safe
The site is served over an encrypted connection, enquiries are sent over authenticated and encrypted email, and access to the booking system and the mailbox is password protected and limited to me. No system can be guaranteed completely secure, but information is not kept for longer than it is needed and is not shared beyond the suppliers listed above.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information I hold about you
- have inaccurate information corrected
- ask me to delete information, where there is no good reason for me to keep it
- ask me to restrict how I use it, or object to my using it
- ask for your information in a portable format
- withdraw your consent at any time, where consent is what I am relying on
To exercise any of these, email hello@parkerrosesocials.co.uk. I will respond within one month. There is no charge.
If you are unhappy with how I have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. I would appreciate the chance to put it right first.
Children
This site and these services are intended for adults, and I do not knowingly collect information from children through this website. Where children appear in photographs or film at an event, that is handled with the consent of a parent or guardian as part of the booking.
Links to other sites
Where this site links out, for example to Instagram or WhatsApp, those services have their own privacy policies and I am not responsible for their content or their handling of your information.
Changes to this policy
If this policy changes, the revised version will appear on this page with a new date at the top. Please check back occasionally.
